Scope of the Contest

Purpose and Theme of the Contest:

The aim of the contest is to make İzmir, a city of 8500 years of harmony and democracy, a focal point for artistic creations with the theme "Harmony with Differences."
The subject of the contest is to design original illustration works reflecting İzmir's culture of harmony, using the silhouette of İzmir's Clock Tower.

Information about the Organizing Institution:

İzmir Planning Agency (İZPA) is a third-generation planning agency that produces circular culture projects through the combination of academic data, citizen participation, and ecosystem data. Operating to build cities in harmony with nature, each other, the past, and change, İZPA utilizes academic data, citizen opinions, and ecosystem data as inputs to generate strategies and projects for İzmir, in line with CittaSlow Metropolis and circular city criteria, using a collaborative approach.

Type and Format of the Contest:

The competition is a free, international, and single-stage fine arts competition organized by the Izmir Planning Agency (IZPA) based on the regulations of the "Architectural, Landscape Architecture, City and Regional Planning, and Fine Arts Works Competitions Regulation" prepared in accordance with the relevant articles of Law No. 4734 on Public Procurement. The competition is open to participants worldwide. Registration and participation in the competition are free of charge. The competition process and procedures will take place in a digital environment. 

The award-winning and selected works for exhibition will be showcased on the beizmir.org website.

Obtaining the Contest Document:

The contest specifications are provided free of charge to institutions and organizations determined by IZPA nationwide. The contest specifications and the silhouette of the Clock Tower can be obtained from the website at https://beizmir.org/en/necessary-documents

Documents to be Given to Participants

For participants of the Be İzmir Illustration Contest, the following documents will be provided:

 

 

 
  • The contest is open to all designers, both domestic and international.
  • Individuals and groups can apply for the contest. (In case of winning an award, payment will be made only to one person from the group.)
  • Participants must be 18 years old or older to enter the contest.
  • Designers can participate with a maximum of three (3) works.
  • Designs that are contrary to general morality or can be associated with any political or religious views will not be considered.
  • Artworks must be digitally submitted, applied on the silhouette of the İzmir Clock Tower. The silhouette of İzmir Clock Tower that can be used in the contest can be downloaded from beizmir.org/necessary-documents. Designs applied on different templates will not be accepted for the contest.
  • There are no restrictions on color, background, or technical aspects in the designs. The designs should be suitable for application on various products (not limited to those mentioned here; all kinds of printed materials, badges, mascots, keychains, posters, billboards, t-shirts, souvenirs, promotional products, etc.).
  • Hand-drawn or sketched designs uploaded to the website will not be evaluated.
  • The works must be prepared in vector format, in CMYK and RGB color modes, with a maximum size of (A3) 29.7cm x 42cm, using programs such as Adobe Illustrator or Photoshop.
  • The 72 DPI resolution version of the works should be uploaded through the form on beizmir.org/application.
  • The designs uploaded to the website must be less than 4MB in size.
  • In case of winning an award, the artist will be asked to provide the high-resolution (300 DPI) and 29.7 cm (1:1 scale) dimensions of the artwork.
  • Participants in the contest acknowledge, declare, and undertake that the designs they submit are their own. Works that are found to be copied, have won awards in other contests, or have been published will not be evaluated by the jury, and any awarded prize will be canceled.
  • The jury will consider a) the originality and creativity of the work, and b) the visibility and adaptability of the work in various communication materials while evaluating the works.

(referred to as İzdoğa, İzpa, or the Company) takes necessary security measures to ensure the lawful collection, storage, and sharing of your personal data available on izdoga.com.tr, beizmir.org, and related websites, aiming to protect your privacy. Our objective is to provide you with the most transparent information regarding the methods of collecting your personal data, the purposes of processing, the recipients of shared data, the legal basis, and your rights, in accordance with Article 10 of the Personal Data Protection Law No. 6698.

  1. Scope

This Information Notice covers guests, contestants, participants, website visitors, mobile application users, business partners, sponsors, and other third parties who share their personal data with our Company.

  1. General Information about the Law

The Law No. 6698 on the Protection of Personal Data ("Law") was adopted on March 24, 2016, and published in the Official Gazette No. 29677 on April 7, 2016. The Law aims to protect the fundamental rights and freedoms of individuals, especially the privacy of private life, and to regulate the obligations of real and legal persons processing personal data and the principles and procedures they must comply with.

  1. Data Controller

As İzdoğa İzmir Metropolitan Municipality Environmental Protection, Improvement, Consultancy, and Project Services Co. Inc., we will act as the Data Controller for your personal data in compliance with the Law No. 6698 on the Protection of Personal Data.

  1. Purposes of Processing Your Personal Data 

4.1. Application for the Illustration Contest

The following data processing activities are necessary to ensure our legitimate interests without harming your fundamental rights and freedoms:

Creation of Application Record: The participant/contestant provides their name, surname, phone number, address, identification information, email address, and application file through the beizmir.org website owned by İzpa for participation in the International Illustration Contest. The information provided by the contestant in the application form, within the scope of the Law No. 6698 on the Protection of Personal Data, will be processed by İzpa to establish communication and participation in the contest, and if necessary, will be shared with our business partners. In case the application is not successful, personal data will be kept by İzpa for the duration prescribed by the legislation. Additionally, during the application process, the personal data submitted by the contestant may be shared with the jury, press and media organizations, and other relevant individuals. If the contestant becomes eligible for an award or the artwork is published, the personal data such as the name and surname of the artwork owner may be disclosed to the public.

The processed personal data includes the name, surname, phone number, address, identification information, and email address of the participant/contestant.

  1. Recipients and Purposes of Transferring Processed Personal Data 

Your collected personal data will be transferred, in addition to the specified purposes, to: 

Legally authorized public institutions and organizations, law enforcement agencies, public prosecutors, and other judicial authorities upon their lawful request, Real or legal persons with whom we have collaborations and agreements for product/service comparison, analysis, evaluation, advertising, and the realization of the above-mentioned purposes, program partner institutions and organizations, intermediary service providers with whom we have agreements for sending messages to our customers, within the framework of the personal data processing conditions and purposes specified in Articles 8 and 9 of the Law No. 6698.

  1. Method and Legal Basis of Personal Data Collection 

Your personal data is collected through various methods, including all declaration/information forms and other documents prepared with your consent and/or signature in accordance with relevant regulations, electronic approvals and/or signatures provided by you, our Company’s local service units, Websites, Mobile Applications, Call Centers, Kiosks, and channels such as cookies used by our computers to recognize you. The data can be collected orally, in writing, or through electronic means.

Your personal data will be processed in compliance with the processing conditions specified in Articles 5 and 6 of the Law, to enable us to provide the services in accordance with the requirements of legislation and technology, improve the products and services we offer, fulfill our reporting and notification obligations mandated by judicial and administrative authorities, conduct advertising and promotional activities, and analyze our guest portfolio, all within the framework of the Law and relevant legislation.

  1. Deletion and Destruction of Your Personal Data 

The personal data shared with our Company through the website or mobile application for the application record of the beizmir illustration contest is kept for the duration of the statute of limitations after the end of the contest.

Any other personal data, such as passwords or images, not covered by the above, is deleted during our Company’s periodic destruction periods.

  1. Rights of the Data Subject as Stipulated in Article 11 of Law No. 6698

As data subjects, you have the following rights regarding your personal data:

a. To learn whether your personal data is being processed,

b. To request information if your personal data has been processed, 

c. To learn the purpose of processing your personal data and whether they are used for the intended purpose, 

d. To know the third parties, if any, to whom your personal data is transferred domestically or internationally, 

e. To request the correction of your personal data in case it is incomplete or inaccurate and to have the corrected data notified to third parties to whom your personal data has been transferred, 

f. To request the deletion or destruction of your personal data in case the reasons for its processing no longer exist, and to have the related third parties notified of such deletion or destruction, 

g. To object to the occurrence of a result against you by analyzing the processed data exclusively through automated systems, 

h. To request compensation for damages in case your personal data is processed unlawfully.

You can use your aforementioned rights by submitting your request in writing and in Turkish, or by using a registered electronic mail (KEP) address, secure electronic signature, mobile signature, or the electronic mail address previously notified to us and registered in our system, in accordance with Article 13, Paragraph 1 of Law No. 6698 and the Communique on Procedures and Principles of Data Controller Application No. 30356 dated 10.03.2018. In applications, only information regarding the applicant will be provided, and it will not be possible to obtain information about other family members and third parties. Our Company reserves the right to verify your identity before responding to your request.

Your application should include the following information:

  1. Your name, surname, and signature (if the application is in writing),
  2. Your Turkish Republic Identity Number for Turkish citizens, your nationality and passport number if you are a foreigner,
  3. Your residence or workplace address for notification,
  4. Your electronic mail address, telephone, and fax numbers, if any,
  5. The subject of your request is mandatory, and if available, relevant information 

and documents related to the subject should also be attached to the application.

You can submit your written applications along with the necessary documents to the data controller, our Company, at the address Akdeniz Mah. Mimar Kemalettin Cad. No: 62, Inner Door No: Z1, Konak/Izmir. You can access the application form at beizmir.org.

For applications via e-mail, you can send your requests to info@izdoga.com.tr. For applications via KEP, you can send your requests to izdoga@hs01.kep.tr.

Depending on the nature of your request, providing information and documents that allow for identification may be necessary. Failure to provide the requested information and documents accurately and completely may result in delays in the processing of your request. In such cases, our Company reserves its legal rights. Therefore, it is essential to submit your application with all the required information and documents related to your request.
